Privacy Policy
Last updated: 26 August 2026
Julian Gilbey Coaching is committed to respecting and protecting your personal information. This privacy policy explains what information I collect, why I collect it and how I use and protect it.
Julian Gilbey Coaching is operated by Julian Gilbey as a sole trader. For data protection purposes, I am the data controller.
If you have any questions about this policy or how your information is used, you can contact me at julian@juliangilbeycoaching.com.
Information I collect
I may collect personal information when you contact me through this website, book an initial conversation, sign up to receive emails from me, become a coaching client, or correspond with me directly.
This may include your name, email address, information you choose to provide about your circumstances or reasons for seeking coaching, booking information, and records relating to our correspondence or coaching engagement.
Please avoid including sensitive personal information in the website enquiry form unless it is necessary for your enquiry.
How I use your information
I use personal information where necessary to:
-
respond to enquiries and arrange initial conversations;
-
provide and administer coaching services;
-
communicate with prospective and existing clients;
-
maintain appropriate business and financial records;
-
operate and improve this website; and
-
send my Sunday email where you have chosen to receive it.
Depending on the circumstances, I process personal information because it is necessary to take steps at your request before entering into a coaching agreement, to perform an agreement with you, to meet a legal obligation, because I have a legitimate business interest in doing so, or because you have given your consent.
Email communications
If you choose to receive my Sunday emails, your name and email address may be stored and processed through MailerLite, which I use to manage my mailing list and send emails.
You can unsubscribe at any time using the unsubscribe link included in those emails. Unsubscribing from marketing emails will not prevent me from contacting you where necessary in relation to an enquiry or coaching engagement.
Website enquiries and bookings
This website is hosted using Wix. Information submitted through the website enquiry form is processed through Wix and sent to me so that I can respond to your enquiry.
If you choose to book an initial coaching conversation directly, you will be taken to an external Google booking/calendar service. Information you provide when making that booking will also be subject to Google's privacy practices.
Sharing your information
I do not sell your personal information.
I may use trusted service providers where necessary to operate my business, including Wix for the website and enquiry forms, MailerLite for email communications, and Google for email, calendar and booking services.
These providers process information according to their own terms and privacy arrangements and may process data outside the UK. Where relevant, appropriate safeguards are used for international transfers of personal information.
I may also disclose information where required by law or where necessary to establish, exercise or defend legal rights.
How long I keep your information
I keep personal information only for as long as it is reasonably necessary for the purpose for which it was collected, including any legal, accounting or professional requirements.
Information relating to enquiries that do not lead to a coaching engagement will not be retained indefinitely. Client records may be retained for an appropriate period after a coaching engagement has ended where there is a legitimate business, professional or legal reason to do so.
Mailing-list information is retained until you unsubscribe or otherwise ask me to remove it.
Cookies and website information
Wix may use cookies and similar technologies to operate the website, maintain security and understand how the site is used.
Where consent is required for non-essential cookies, you will be given the opportunity to manage your choices through the website's cookie controls.
Your rights
Under UK data protection law, you may have rights over your personal information, including the right to ask for access to it, to have inaccurate information corrected, to ask for information to be deleted or its use restricted in certain circumstances, and to object to certain types of processing.
Where processing is based on your consent, you can withdraw that consent at any time.
If you would like to exercise any of these rights, contact julian@juliangilbeycoaching.com.
You also have the right to raise a concern with the Information Commissioner's Office (ICO), the UK's data protection regulator.
Changes to this policy
I may update this privacy policy from time to time to reflect changes to my services, website or legal obligations. The latest version will always be available on this website.
